Automate appointments and deadlines
Appointments need to be arranged, rescheduled, and reminded. Deadlines need to be monitored, or it gets expensive. This page shows which steps can be automated and what still requires human planning.
What happens today
A customer wants an appointment. Someone checks the calendar, suggests times, confirms by email, enters the appointment, and sends a reminder. In parallel, deadlines are running: objection deadlines, payment deadlines, filing deadlines. Each must be kept in view, or there are penalties or legal consequences. This is not difficult work, but it must not be forgotten.
What can be automated
Automatic appointment suggestions
Replaces: Manually cross-checking availability — the system suggests free times and lets the customer choose online.
Reminders and confirmations
Replaces: Manually sending appointment reminders — the system sends reminders by email or SMS and requests confirmations.
Deadline monitoring by ruleset
Replaces: Manually entering deadlines into calendars or lists — deadlines are extracted from documents or automatically calculated when a case is created, and monitored.
Escalation on deadline approach
Replaces: The risk that a deadline is overlooked — the system escalates to the responsible person in good time when a deadline is approaching.
What stays human
- Decision on whether an appointment makes sense
- Handling appointment conflicts and rescheduling
- Processing of cases before deadline expiry
- Communication when deadlines are missed
A real-world example
In a law firm, deadlines are existential. A missed objection deadline can cost the client their legal remedies. Deadlines are extracted from notices, entered into the system, and monitored. The lawyer receives an escalation in good time and can act. The firm keeps control, but the system watches along.
